When an activity uses resources, FareHarbor automatically assigns them based on the resource requirements configured for the availability. Depending on how those requirements are configured, you may also be able to choose between available resources or select seats during the booking process.
This page explains how resources are assigned while creating a booking and how to adjust those assignments before completing the reservation.
Resource assignment overview
Resources are assigned automatically according to the resource requirements attached to the selected availability.
Depending on how those requirements are configured, you may:
- Have resources assigned automatically.
- Choose between multiple available resources.
- Select seats when assigned seating is enabled.
- Review assigned resources before completing the booking.
Review assigned resources
Before completing a booking, you can review the resources that will be used.
To review assigned resources:
- Open the availability, and select Actions & Settings.
- Select + Book.
- Open Capacity and resources from the availability settings, and select the Resources tab.
If resources are assigned automatically, the booking displays the default resource selections for each requirement.
Change resource selections
If two or more resources are attached to the same resource requirement, you can choose which available resource to use for the booking. For example: If two boats are attached to the same requirement, you can select a different boat instead of using the default resource assignment.
To change resource selections:
- Open the availability, and select Actions & Settings.
- Select + Book.
- Select at least one customer type. The Resources section appears after you add customers to the booking.
- In the Resources section, select Change resources.
- Choose the resource you want to use for each available requirement.
- Review the updated resource selections.
- If needed, select Reset to restore the default resource assignments.
If no alternate resources are available, FareHarbor displays No other resource options available.
Select seats
If the activity uses assigned seating, you can select seats during the booking process.
To select seats:
- Open the availability, and select Actions & Settings.
- Select + Book.
- Select Seating from the booking toolbar.
- Choose seats from the map or list view, depending on your account configuration.
- Continue completing the booking after all required seats have been assigned.
Depending on your configuration, you may also be able to:
- Change an assigned seat.
- Unassign a seat.
- Automatically assign available seats.
Changing resource selections may clear existing seat assignments so FareHarbor can recalculate capacity using the newly selected resources.
Complete the booking
After reviewing your resource assignments and seat selections, complete the remainder of the booking as usual.
To complete the booking:
- Finish entering the required booking information.
- Review the booking details.
- Select Complete booking.
During processing, FareHarbor displays a progress message while the booking is created.
Understand overuse warnings
FareHarbor continuously checks resource availability while the booking is being created.
If the selected resources exceed available capacity, FareHarbor displays an overuse warning before the booking can be completed. Depending on your permissions and your account configuration, you may be prevented from completing the booking until the resource conflict is resolved.
If seat availability changes while you're booking, FareHarbor may also display a message indicating that one or more seating selections are no longer available and should be reviewed before continuing.
FAQs & common issues
Why can't I change the assigned resource?
Some resource requirements assign resources automatically or have only one available resource. In these cases, the booking uses the default resource assignment. If multiple options aren't available, FareHarbor displays No other resource options available.
What does Reset do?
Reset restores the default resource selections defined by the current resource requirements.
Why did my seat assignments change after selecting different resources?
Changing resource selections recalculates resource availability. When this happens, FareHarbor clears existing seat assignments so they can be recalculated using the updated resource selections.
Why can't I complete the booking?
Bookings may be blocked when required seats haven't been assigned, resource capacity has been exceeded, or other booking validation requirements haven't been met. Review any warning messages displayed in the booking form before trying again.
