With FareHarbor’s HubSpot integration, you can automatically sync customer and booking data between FareHarbor and HubSpot. When a booking is completed in FareHarbor, HubSpot automatically creates or updates a Contact and a related Deal so your team can manage customer relationships, track sales, and build marketing campaigns in one place.
By keeping FareHarbor and HubSpot in sync, you can view customer interactions, track completed or cancelled bookings, and easily retarget past guests or leads, all from HubSpot’s CRM.
Enabling the HubSpot integration
To enable FareHarbor’s HubSpot integration, first ensure that you have Administrator permissions in your FareHarbor Dashboard.

Mapping FareHarbor bookings to HubSpot deals
Once you have authorized your HubSpot integration, you may begin mapping FareHarbor booking states to HubSpot deal stages.
To find the relevant Internal IDs in HubSpot:
- Navigate to Data Management.
- Click Deals.
- Under Deals, click the Pipeline selection button.
- Click Edit pipeline.
- Locate the Internal ID for your Closed Won and Closed Lost deal stages. More information on default deal stages can be found in the HubSpot Knowledge Base.
Once you have located the Internal IDs for Closed Won and Closed Lost deals, paste these IDs into the corresponding HubSpot Deal stage fields in the FareHarbor HubSpot integration settings.
Note: Booking data will only be sent to HubSpot if the HubSpot Deal stage IDs match their corresponding Internal IDs. Paste your Internal IDs exactly as they appear in your HubSpot CRM.
After adding your internal IDs, click Save Mappings.
Syncing FareHarbor bookings to HubSpot deals
Once mapped, booking information is automatically sent from FareHarbor to HubSpot, where bookings are synced to the default Sales Pipeline. When a customer completes a booking in FareHarbor:
- Their contact information (name and email) is sent to HubSpot and saved as a Contact.
- The related booking is added as a Deal in HubSpot, showing the total booking amount and deal stage (Closed Won or Closed Lost).
Note: Multiple bookings made by the same customer will appear in HubSpot under one contact as long as the same email address was used during each booking process. New contacts will be created in HubSpot for each new email address used for a booking.
To view synced data in HubSpot:
- Log in to your HubSpot account.
- Open Contacts to see customer profiles synced from FareHarbor.
- Select a contact to view their associated Deals.
For each booking sent from FareHarbor to HubSpot, you can find the:
- Booking ID
- Amount
- Close date
- Location
- Deal stage.
Rebookings
When a customer is rebooked, the deal associated with the original booking will be updated in HubSpot with all of the data from the new booking. You can read more about rebooking customers here.
Cancelled bookings
If a booking is cancelled, the corresponding HubSpot deal will automatically move from Closed Won to Closed Lost in HubSpot.
Product limitations
- Only new bookings and customer data are synced. It is not currently possible to import historical bookings.
- If a customer doesn’t provide an email address, a contact is created in HubSpot without one.
- Only booking and contact details are transferred. No payment processor or tax breakdown data is included at this time.
Frequently asked questions
I’ve enabled the FareHarbor HubSpot integration. Why don’t new contacts appear?
Only new bookings created after the integration is connected will sync automatically.
Why are some contacts missing an email address?
FareHarbor bookings sometimes don’t include customer email fields (for example: in direct bookings). HubSpot will still create a contact record without an email.
Can I import my previous bookings?
It is not currently possible to import bookings that occurred prior enabling the HubSpot integration.
