Managing prices with Price Planner

  • Updated

FareHarbor's Price Planner is a calendar-based tool for viewing and updating customer type pricing in your FareHarbor Dashboard. You can create reusable price schedules, apply them to one or more items, preview what customers would pay for an availability, and review affiliate pricing.

Use Price Planner when you want to:

  • Apply seasonal, promotional, weekday/weekend, or time-based pricing.
  • Assign the same schedule to multiple items.
  • Preview customer prices for an availability before new bookings use them.
  • Review affiliate schedules, commission amounts, and net amounts.

Notes:

  • Price Planner works alongside price sheets. Continue using price sheets and Options & Prices on item-level for custom field pricing, taxes, and configurations that Price Planner does not support.
  • Price Planner supports customer type pricing only.
  • Affiliate price schedules are view-only in Price Planner.

Understanding Price Planner pricing

Price Planner uses an item's base pricing when no price schedule applies. When schedules overlap, FareHarbor uses the highest-priority matching schedule. If that schedule does not contain a price for a customer type, FareHarbor uses the item's base price for that customer type.

Opening Price Planner

The Manage price sheets permission must be enabled for your user account to use Price Planner. Contact your FareHarbor administrator or FareHarbor Support if you need this permission.

To open Price Planner:

  1. Go to your FareHarbor Dashboard > Settings.
  2. Select Price Planner in the sidebar.

    settings > price planner.png

To open Price Planner from a specific item:

  1. Go to your FareHarbor Dashboard > Items.
  2. Click on an item's name.
  3. Select Price Planner from the sidebar.

On the Price Planner page you see:

  • The price schedules calendar

Note: You can switch the calendar display between Week and Month views.

  • The View pricing for sidebar menu where you can select:
    • Channel: The booking path (online, direct, or affiliate) whose pricing you want to view. You can create schedules for online and direct pricing.
    • Item: The item whose calendar and schedule prices you want to view.
    • Customer Type: The customer type whose pricing you want to view. You can filter to one type or All Customer Types. (Note: This option appears only after you select an item.)

Existing price schedules appear:

  • On the calendar based on the selected Channel.
  • In the Schedules list.

Pricing is applied by schedule order - schedules higher in the list take priority when there is overlap.

Creating a price schedule

Price schedules are reusable and are not limited to a single item. Use names that describe the pricing (and channel), not a specific item name. For example, Online - Summer pricing.

You can create a price schedule for:

  • Every day within a specific date range.
  • Specific weekdays and, if needed, specific times.

To create a price schedule:

  1. Open Price Planner.
  2. Under View pricing for, select Online or Direct from the Channel menu. (Note: If the View pricing for menu is hidden, click the arrow in the upper-left corner to expand it.)
  3. Select an Item to configure its prices.
  4. Click Create price schedule.
  5. Enter a schedule name (such as Online - peak season).
  6. Select a Start date and End date.

Note: Limit to a date range is enabled by default. Disable it if you would like to create the price schedule for an indefinite time.

  7. (Optional) Configure Days and times:
    • All weekdays are selected by default. Click on a weekday to exclude it.
    • All day is selected by default. Select Specific time, if you would like to set a daily start and end time.

Price schedule date and time settings.png
  8. Set the prices per customer type. (Note: If a customer type price is missing, Price Planner uses the base price.)
  9. Click Review changes to review what will and will not change.
  10. Click Create Schedule.

After creating the schedule, click Apply to another item to configure the same schedule for another item, or click Done.

FareHarbor adds the new price schedule to the top of the Schedules list. It takes priority over schedules that overlap for the same channel and item. To give another schedule priority, reorder the Schedules list.

Note: Schedule changes apply to new bookings only. Existing bookings keep their original pricing.

Adding items to an existing price schedule

You can apply an existing schedule to additional items after it is created.

To add an item to an existing schedule:

  1. Open Price Planner and select the schedule from the Schedules list.
  2. Open the Schedule tab.
  3. Under View pricing for, select the item that you want to add via the Item dropdown.
  4. In the Schedule tab, find the item under Applied to.
  5. Click Enable for that item.

    price-planner-enable-item.png
  6. (Optional) In the Pricing tab, set the item’s customer type prices.
  7. Click the Enable button to save the changes.

Notes:

  • An item listed under Applied to does not use the schedule until you enable it.
  • If multiple schedules apply to the item at the same time, the highest-priority matching schedule determines its pricing.

You can also use Apply to another item immediately after creating a schedule to start this flow.

Previewing customer prices

The Price Planner calendar can display either schedule prices or the prices customers would pay for an availability on that specific day. Turn on See end user prices to see the price a booker would actually pay for a given availability if they booked today.

To preview end-customer prices:

  1. Open Price Planner and select the relevant Channel and Item.
  2. Turn on See end user prices.

  3. Click an availability on the calendar.
  4. Review the Booking preview breakdown for each customer type.

Note: To view a detailed price breakdown, click the customer type.

  5. (Optional) To adjust the customer type price, click Edit schedule pricing and make the necessary changes.

Viewing affiliate price schedules

For the Affiliate booking channel, Price Planner lets you review customer prices and affiliate commission details.

Affiliate schedules are read-only in Price Planner. To change affiliate pricing, use Options & Prices and the related price sheet workflow.

To view affiliate pricing:

  1. Open Price Planner.
  2. Under View pricing for, select Affiliate from the Channel menu.
  3. Select the Affiliate.
  4. Select the relevant Item.
  5. Select one of the following views:
  • End user prices to review customer prices by availability.
  • Affiliate commission and the relevant schedule (under Schedules) to review the affiliate's commission schedules.

The calendar updates to show the relevant availabilities. You can:

  • Open an availability to see the affiliate's prices for each customer type.
  • Open a schedule to see the commission and net amounts for each customer type.

Editing or deleting price schedules

Select a schedule in the Schedules list (or on the calendar) to open its side panel.

Editing customer type prices

To edit customer type prices:

  1. Open the schedule and select the Pricing tab.
  2. Click a customer type.
  3. Update the customer type’s price.
  4. Click Review changes.
  5. Review what will and will not change.
  6. If everything looks good, click Confirm changes.

Changing when a schedule applies

The Schedule tab shows when the schedule applies and the items associated with it.

To edit when a schedule applies:

  1. Open the Schedule tab.
  2. Under When it applies, click Edit pencil_icon.png.
  3. Update the date range, days, or times:
    • Click Edit to update the existing time range.
    • Click Delete to remove an existing time range.

Note: Edit and Delete appear when you place your pointer over the applied time.

      price-schedule-edit-times.png
  4. Review the updates, then click Submit.
  5. Click Back to return to the Schedule tab.

Disabling a schedule for an item

To disable the schedule for an item:

  1. Open the schedule and select the Schedule tab.
  2. Under Applied to, click Disable for the relevant item.

The item stops using the schedule. If another matching schedule applies, FareHarbor uses that schedule according to its priority. Otherwise, the item uses its base pricing.

Deleting a price schedule

To delete a price schedule:

  1. Open the schedule and select the Schedule tab.
  2. Click Delete schedule.
  3. Confirm deletion.

FareHarbor deletes the price schedule. Affected availabilities use the next matching schedule or the item's base pricing.

Renaming a price schedule

To rename a pricing schedule:

  1. Open the relevant schedule.
  2. Click Rename schedule pencil_icon.png next to the schedule name.
  3. Enter the new name.
  4. Click outside the field to save the new name.

Use a name that describes the pricing and channel, such as Online - Summer pricing. Avoid including an item name because you can apply the schedule to multiple items.

Prioritizing overlapping schedules

When multiple schedules could apply to the same availability, the order in the Schedules list decides which one wins. The top schedule has the highest priority.

Note: FareHarbor adds new schedules at the top of the priority list by default.

To reorder schedules:

  1. Go to Settings > Price Planner.
  2. In the Schedules list, click Reorder button reorder-icon.png.
  3. Drag the schedules into the order you want.
  4. Click Reorder again to save the changes.

Reordering affects pricing for all items on the selected channel that use those schedules. After you reorder, review the calendar (and end-user price preview) to confirm the expected updates.

Frequently asked questions (FAQs)

Why don’t I see Price Planner in my Dashboard?

You may not have the Manage price sheets permission. Contact your FareHarbor administrator or FareHarbor Support.

Do price changes affect existing bookings?

No. Price changes apply to new bookings only. Existing bookings keep their original pricing.

Can I have multiple schedules at the same time?

Yes. Each non-overlapping schedule applies according to its own dates and conditions. When schedules overlap, the highest-priority matching schedule determines the pricing.

Can one item be added to multiple schedules?

Yes. However, only one matching schedule determines an item's price at a given time. When schedules overlap, FareHarbor uses the highest-priority matching schedule.

Why is my pricing not what I expected?

Check whether:

  • A higher-priority schedule overrides another
  • The date, day, or time conditions are not met
  • The wrong channel, affiliate, or item is selected
  • An item is listed under Applied to but not yet enabled for that schedule
  • The selected schedule does not include a price for that customer type, so FareHarbor uses the item's base price.

Can I change affiliate pricing in Price Planner?

No. Affiliate schedules are read-only in Price Planner. You can review customer prices, commissions, and net amounts, but you must use Options & Prices and the related price sheet workflow to change affiliate pricing.

Can I use Price Planner for any price schedule updates?

No. Price Planner works with customer type pricing only. Use price sheets or Options & Prices to manage custom field pricing, taxes, affiliate pricing, and other configurations that Price Planner does not support.
