Create & manage resources

  • Updated

Resources represent the people, equipment, vehicles, seats, or other assets required for your activities. Create resources to define their capacity and how they can be shared across overlapping bookings. You can then attach them to resource requirements.

Create a resource

To create a resource:

  1. Navigate to Settings > Resources.
  2. Select + New resource.
  3. Configure the resource settings. For more information on specific configuration options, explore the sections below.
  4. Select Create.

After creating the resource, you can attach it to a resource requirement.

General setup

  • Resource name: Enter a descriptive name that helps staff distinguish the resource from similar assets.
  • Max uses: Enter the maximum number of simultaneous uses. For example, enter 12 for a set of 12 identical helmets. Leave the field blank for unlimited uses.

Max uses may limit activity capacity unless you've set a lower capacity on the availability. A resource with unlimited uses does not reduce remaining capacity.

Resource restrictions

Restrictions determine how a resource’s remaining uses can be shared during overlapping time periods.

Choose one of the following options:

  • None: Allows the remaining uses to be assigned to any booking, availability, or item during the overlapping period. Use this for resources that can move freely between activities, such as bikes, life jackets, or surfboards.
  • Same availability: Limits the remaining uses to bookings on the same availability. Use this for resources with multiple seats or spots that should remain with one availability, such as boats, buses, guides, or rooms.
  • Same booking: Reserves the resource for one booking during the overlapping period. After the resource is first used, it has no remaining uses available to other bookings. Use this when the entire resource should be reserved for one booking, such as for a private experience.
  • Same item: Limits the remaining uses to bookings for the same item. Use this when a resource should stay with one item during an overlapping period, such as when you offer location-specific versions of the same activity.

Some resource-use and capacity-enforcement settings are managed by FareHarbor. Contact FareHarbor Support to review or change this behavior.

Seating

If seating is enabled for your account, use Seat map to select the seating layout customers can book into when the resource is used.

Set Max uses to the number of bookable seats on the selected seat map.

Advanced settings

Use Advanced settings to control how the resource appears throughout the Dashboard and in customer-facing communications.

  • Show resource name on digital tickets: Display the resource name on digital tickets that include QR codes.
  • Archive: Hide the resource from settings unless it is already in use. See Archive resources for details.
  • Overuse warning: Enter the message shown when an online booking attempts to exceed the resource’s available capacity.
  • Notes: Add internal information that appears as a tooltip where the resource is used throughout the Dashboard.

Update resource settings

You can update a resource at any time.

To update a resource:

  1. Navigate to Settings > Resources.
  2. Select the resource you want to update.
  3. Open Settings.
  4. Update the resource settings.
  5. Select Save.

Delete a resource

If a resource is no longer needed, you can delete it from the resource's Settings page.

To delete a resource:

  1. Navigate to Settings > Resources.
  2. Select the resource you want to delete.
  3. Open Settings.
  4. Select Delete.
  5. Confirm the deletion.

If you want to preserve the resource's historical information instead of permanently removing it, archive the resource instead.  See Archive resources to learn how to archive, restore, and manage archived resources.

Next steps

After creating your resources, set up resource requirements to determine when and how they're assigned to bookings.

See Set up resource requirements for an item to continue the setup process.

FAQs & common issues

What's the difference between Max uses and restrictions?

Max uses controls how many simultaneous uses the resource supports. Restrictions determine how those remaining uses can be shared across overlapping bookings.

Why don't I see seating settings?

The Seating section appears only when assigned seating is enabled for your account.

What does the Overuse warning field do?

The Overuse warning field lets you customize the message shown when an online booking attempts to exceed the resource's available capacity.

Can I update a resource after creating it?

Yes. You can update a resource at any time from Settings > Resources.

Should I archive or delete a resource?

Archive a resource if you want to preserve its historical information and make it available for restoration later. For information about preserving historical information by archiving a resource, see Archive resources.
