  • Updated

Additional information is available to FareHarbor employees.

Resources help you manage the people, equipment, vehicles, seats, and other assets required to operate your activities. This page answers common questions about how resources work in FareHarbor. For step-by-step instructions, see the related Resources help pages.

FAQs

What's the difference between a resource and a resource requirement?

A resource is the person, vehicle, piece of equipment, seat, or other asset that FareHarbor manages.

A resource requirement determines when and how that resource is assigned to a booking. Resource requirements reference one or more resources to create resource assignments during booking.

What's the difference between a resource requirement group and a requirement?

A resource requirement group is a collection of related requirements that can be assigned to an availability.

A requirement determines when resources should be assigned for an entire booking, for individual customers, or based on selected custom field values.

Can I use the same resource for multiple activities?

Yes. Company-level resource requirement groups can be shared across multiple activities, allowing the same resources to be used wherever they're needed.

Do I need to create resources before I create resource requirements?

Yes. Resources must exist before they can be attached to a resource requirement.

For setup instructions, see Create & manage resources.

What happens when a resource reaches its maximum capacity?

FareHarbor checks resource capacity while bookings are created and resource assignments are updated.

Depending on your resource configuration and permissions, FareHarbor may prevent additional bookings or display overuse warnings.

What's the difference between Max uses and resource restrictions?

Max uses determines how many simultaneous uses a resource supports.

Resource restrictions determine how overlapping bookings can share the same resource.

When should I use a resource override?

Use a resource override when you need to temporarily change a resource's capacity.

If the change should be permanent, update the resource instead.

For instructions, see Manage resource overrides.

Why don't I see an archived resource?

Archived resources are hidden from the Resources list by default.

To learn how to view or restore archived resources, see Archive resources.

Why do archived resources still appear in some places?

Archived resources remain visible wherever they're still in use. They're identified with an (archived) label wherever they're displayed.

Archived resources also remain available for reporting.

Can archived resources still be used in reports?

Yes. Archived resources remain available in reports and are identified with an (archived) label when appropriate.

Why doesn't a custom-field resource appear on the booking?

Resources created from custom field requirements are managed through the associated custom field values instead of the booking's resource list.

To change the resource assignment, update the associated custom field value.

Why can't I change the assigned resource?

Some resource requirements assign resources automatically or provide only one available option.

When no alternate resources are available, FareHarbor uses the default resource assignment.

What does Reset do when selecting resources?

Reset restores the default resource assignments defined by the current resource requirements.

Why did my seat assignments change after I changed resources?

Changing resource assignments recalculates resource availability.

As part of that process, FareHarbor may clear existing seat assignments so they can be recalculated using the updated resource assignments.

Why doesn't reapplying resources change my booking?

If the booking already matches the current resource requirements, reapplying resources may not result in any changes.

For more information, see Manage resources on existing bookings.

Why can't I save my resource changes?

Resource changes may be blocked because of validation errors, resource overuse warnings, or insufficient permissions.

Review any messages displayed before trying again.

Why can't I complete a booking?

A booking may be blocked if required seats haven't been assigned, resource capacity has been exceeded, or other booking validation requirements haven't been met.

Review any messages displayed in the booking form before trying again.

Where can I review resource assignments?

You can review resource assignments from several areas of the Dashboard, including resource Uses, Detailed Uses, the Manifest, Bookings, and Availability.

For more information, see Monitor resource usage.

I changed my resource requirements. Why didn't existing bookings update automatically?

Changing a resource requirement or assigning a new resource requirement group affects future resource assignments only.

To update existing bookings, reapply resources for the affected booking or use the Availability Updater to update multiple bookings.

See Manage resources on existing bookings or Assign resource requirements to availabilities for instructions.
